Office Administrator

We are looking for a reliable Office Administrator. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the office administrator will include bookkeeping and liaising  with our external accountants. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.

You will be working in a pleasant and professional environment in a dynamic industry. We are task oriented and work-hour flexible. We offer 40 days working remotely, 13th salary and a provident fund option. This is a full-time position.

Main Duties and Responsibilities

  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Create and update records and databases with personnel, financial and other data
  • Track stocks of office supplies and place orders when necessary
  • Communicate with clients and associates either by telephone or e-mails
  • Support budgeting and bookkeeping procedures
  • Electronic and hard copy filing of any kind of accounting, corporate and banking documents
  • Posting of accounting entries in accounting software
  • Liaise and cooperate with the external accountants and auditors to ensure timely and correct submission of entries and reports [Quarterly VAT, VIES, TAX forms, Provident Fund, etc]
  • Liaise with bank and government authorities if necessary
  • Liaise with accountants for the preparation completion of tax and VAT forms;
  • Follow up on collections and payments

Skills and Experience

  • Proven experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Fluent in Greek and English language
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office
  • Familiarity with accounting software will be an advantage
  • Qualifications in secretarial studies will be an advantage
  • Higher or CAT diploma in accounting will be considered as an advantage
